MARAC Secretary

TERM OF OFFICE

The Secretary is elected by the MARAC membership in even numbered years and takes office at the conclusion of the Spring Meeting following the election.

DUTIES AS SPECIFIED BY THE MARAC CONSTITUTION AND BYLAWS

Serves as an ex-officio member of the Membership Development Committee. (MARAC Bylaws ยง 1 B)

ADDITIONAL RESPONSIBILITIES

Keeps minutes of all Steering Committee meetings and prepares and distributes copies to Steering Committee members.

Keeps minutes of the Business Meeting held at each semi-annual meeting.

Prepares and sends to MARAC Webmaster a full version of the Steering Committee Meeting minutes and Business Meeting minutes for publication on the MARAC website.

Maintains the MARAC Operations Manual and informs new Steering Committee members how to access. (or will respective chairs have access to Wiki to update their sections as needed?)

Keeps all official records of the Secretary and transfers those of vital and enduring value to the MARAC archives on a regular basis.

Prepares documents to describe proposed Constitution or Bylaw changes.

Sends notification and meeting agenda to Steering Committee members prior to the quarterly meetings of the Steering Committee. (Administrator and/or Chair does this now)

Certifies with the Chair of the Nominations and Elections Committee the results of each election. (does this happen?) Note that it is the responsibility of the NEC chair to inform the winners/losers of election outcomes.

Performs other duties as assigned by the MARAC Chair.

Prepare MARAC award certificates and ensure they are signed by MARAC Chair and other appropriate Steering Committee member (should this be the job of the Secretary rather than Archivist?)
